PRIVACY POLICY
LuxHaus Windows and Doors LLC | Version 1.0 | Effective: August 25, 2026
1. Who we are
LuxHaus Windows and Doors LLC ("LuxHaus," "we," "us") is a Delaware limited liability company located at 8 The Green, STE B, Dover, DE 19901, USA. We are responsible for the personal information described in this Policy.
Person responsible for the protection of personal information:
Title: Chief Executive Officer, LuxHaus Windows and Doors LLC
Email: info@luxhauswindows.com
Telephone: +1 888 807-6516
2. Scope
This Policy applies to luxhauswindows.com, our tools (Window IQ, Glass IQ, and Ask Emma), our quotation and order process, and our sales and marketing communications. It applies to individuals in the United States, Canada, and other regions where we operate.
3. Information we collect
You provide it directly: name, company, role, email, telephone, mailing and project address; project details, timelines, and budgets; architectural drawings, plans, specifications, schedules, photographs, and other documents you submit; correspondence with our team; and payment and billing information processed by our payment providers.
Generated when you use our tools: inputs and outputs from Window IQ and Glass IQ; the content of conversations with Ask Emma, including messages you type and the responses generated.
Collected automatically: IP address, device and browser type, operating system, referring URL, pages viewed, time on page, and similar technical data, via cookies and comparable technologies.
From third parties: business contact information — name, job title, employer, business email, business telephone, and public professional profile data — obtained from commercial data providers, professional networks, publicly available sources, and referrals, which we use for business-to-business outreach. We also receive engagement data such as opens, clicks, and replies from our email and customer relationship management platforms.
We do not intentionally collect sensitive personal information and ask that you not submit it.
4. Why we use it
To respond to inquiries and prepare estimates and quotations; to engineer, manufacture, import, and deliver ordered products; to administer warranty claims; to process payments and comply with customs, tax, and trade requirements; to operate, secure, and improve our website and tools; to conduct business-to-business marketing and outreach; and to comply with legal obligations and establish or defend legal claims.
5. Consent and legal basis
Where required, we rely on your consent, which you may withdraw at any time. We otherwise process information as necessary to perform a contract with you, to comply with law, or for our legitimate business interests where those interests are not overridden by your rights. Withdrawing consent may prevent us from providing a quotation or fulfilling an order.
6. Automated tools and artificial intelligence
Ask Emma is an automated conversational tool. You are interacting with software, not a person. Window IQ and Glass IQ generate general estimates from the inputs you provide. Conversations and inputs are logged and may be reviewed by our team and used to operate, troubleshoot, and improve these tools. These tools are informational and do not make decisions that produce legal or similarly significant effects about you; pricing and order decisions are made by our staff. Please do not submit confidential or sensitive information through these tools.
7. Who we share it with
We share personal information only as necessary, with: payment processors; freight forwarders, customs brokers, and carriers, where delivery and importation require consignee details; hosting, analytics, email delivery, customer relationship management, and artificial-intelligence service providers acting on our instructions and bound by contract; and professional advisors. We may disclose information where required by law, to enforce our agreements, or in connection with a merger, acquisition, or sale of assets.
We do not send personal information to our manufacturing partners. Drawings, plans, and specifications transmitted to manufacturing facilities are redacted to remove client names, owner identities, and other personal information before transmission. Manufacturing partners receive technical and dimensional information only.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
8. International transfers
Personal information is stored and processed in the United States and may be transferred to and processed in Canada and other jurisdictions where our service providers operate. Technical documentation transmitted to our manufacturing partners in Germany, Italy, and Poland is redacted of personal information before transmission. Before transferring personal information outside Québec, we assess whether it will receive protection adequate in light of applicable privacy principles, and we impose contractual confidentiality and data protection obligations on recipients.
9. Retention
We retain personal information for as long as necessary for the purposes described, and thereafter as required for warranty administration, tax, customs, accounting, and legal-claim purposes. Project documents and order records are generally retained for the duration of applicable warranty and limitation periods. We destroy or anonymise information when it is no longer required.
10. Your rights
Subject to applicable law, you may request to: access the personal information we hold about you; correct inaccurate or incomplete information; obtain a copy in a structured, commonly used technological format, or have it transferred to another organisation; withdraw consent; request deletion, or that we cease disseminating information or de-index a link where the law provides for it; and object to or opt out of marketing communications.
To exercise these rights, contact us at info@luxhauswindows.com with the subject line "Privacy Request." We will respond within the period required by applicable law, generally thirty (30) days. We may need to verify your identity before acting on a request.
If you are dissatisfied with our response, you may file a complaint with the Commission d’accès à l’information du Québec, the Office of the Privacy Commissioner of Canada, or the supervisory authority in your jurisdiction.
11. Marketing communications
We send business-to-business communications to individuals in a professional capacity. Every message identifies us, includes our contact information, and provides an unsubscribe mechanism that we honour promptly. You may unsubscribe at any time using the link in any message or by emailing info@luxhauswindows.com.
12. Cookies and similar technologies
We use strictly necessary cookies to operate the site, and analytics and functional cookies where you consent. You may accept or decline non-essential cookies through our cookie banner, change your choice at any time, and control cookies through your browser settings. Declining non-essential cookies does not prevent you from using the site.
13. Security
We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit, and confidentiality obligations on personnel and service providers. No method of transmission or storage is completely secure. If a confidentiality incident presenting a risk of serious injury occurs, we will notify affected individuals and the applicable authorities as required by law.
14. Children
Our website and services are directed to businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
15. Changes
We may update this Policy. The effective date and version appear at the top, and prior versions are archived. Material changes will be brought to your attention.
